When a deal falls apart over one missed task, like an HOA disclosure, you don’t just lose time.
You lose trust.
And in a world where consumer expectations are shaped by Amazon, Uber, and even boutique wine clubs, email threads and scattered documents just don’t cut it.
In a recent BAMx Office Hours, Byron Lazine and Mosaik CEO Sheila Reddy explained why every agent needs to offer clients a clear, secure window into the transaction.
At the center of that idea is one simple but powerful tool: a shared, password-protected (or email verified) link. It can be created in software like Mosaik or built DIY in Google Sheets, but the goal is the same: one link that holds everything the client needs to know.
And as Byron pointed out, this is no longer optional for agents committed to delivering the best possible client experience:
“Never do a transaction without a central…collaborative transaction link—one link, whether it’s DIY or something built on software like Mosaik.”
Clients Can’t Value What They Can’t See
Clients rarely understand just how much work an agent is doing behind the scenes. And when communication lives in a messy thread of texts or emails, it’s almost impossible for them to keep track of what’s happening, let alone appreciate your role in it.
Sheila Reddy addressed this head-on:
“There is this inclination to shield the client from what is happening because we feel like that’s what we’re being paid for. That’s our job, to make their life easier.
“But in reality, what ends up happening is we also shield them from the value that we’re bringing to the table.”
She emphasized that transparency doesn’t just make the client feel more secure. It also makes your value as an agent visible. When the client sees the actual work you’re doing for them every step of the way, they’re more likely to understand what they’re paying for, and why it’s worth it.
Byron added that agents often avoid highlighting their efforts for fear of sounding self-congratulatory. But when the entire process is documented and visible, it’s no longer about seeking a pat on the back. It becomes a normal part of communication.
“We shy away, as agents, as professionals, at times with our clients, of saying, ‘Hey, I did all of this,’ because we don’t want to come off as bragging. This creates an environment where it’s just part of the update.”
What Should the Link Provide?
The shared link should function as a one-stop shop for everything the client needs to know. Sheila recommends including:
- Key dates: From contract to closing, all contingencies, inspection dates, walkthroughs, and other milestones.
- Client tasks: Things like submitting earnest money, reviewing inspection reports, or setting up mail forwarding.
- Agent tasks (optional but recommended): Let clients see what you’re doing behind the scenes to make the deal happen.
- Contacts: Everyone involved in the transaction, including lenders, attorneys, title reps, and assistants.
- Files: Purchase agreements, disclosures, inspection reports—everything the client might need, stored in one place.
As Sheila explains:
“Transparency is the antidote to doubt. Even if people don’t leverage it, the fact that someone’s willing to be transparent means they have nothing to hide.”
Byron reinforced this point with an analogy from his own life: his fantasy football league.
“Even my high school fantasy football buddies can figure out a Google Sheet link. We have all 20 years of fantasy football documented with different tabs. People use that one resource year after year.”
A Better Experience for Everyone
Giving clients access to a shared link is about more than convenience. It directly addresses three of the biggest pain points in real estate:
- Anxiety: Clients don’t need to guess what’s next. They can log in anytime and see for themselves.
- Miscommunication: Instead of digging through a cluttered inbox, they have one clear source of truth.
- Doubt about your value: Clients can see your work in real time, and that makes it easier to justify your compensation.
Sheila compared it to other professional services:
“In healthcare, even with hyper complex surgeries, the surgeon is still going to tell you what he’s going to do and explain if something goes wrong. As an agent, knowing what to do and doing it is the value you bring. But shielding clients from that process harms the perception of value.”
Don’t Overcomplicate It
A shared link doesn’t need to be fancy to be effective. If you’re not using Mosaik, you can recreate many of the same benefits in a Google Sheet. Just make sure to:
- Share the link only with client email addresses to protect privacy
- Use tabs for contacts, key dates, client tasks, agent tasks, and file links
- Keep it updated, ideally with reminders baked into your routine
Remember to keep it to one link that’s password-protected or shared exclusively to your client’s email address, as Sheila explained:
“Don’t send anything to your clients that’s not password protected or protected by email validation… The nice thing about the DIY version is when you go to share it with someone, you can restrict it and only give access to certain emails.
“If that client tries to access it through a different email, forward it to a family member, and they have to request access, you’re kind of showing the seriousness of it, right? This is not just information that’s publicly put out there in the world. This is something for certain eyes to see only.”
And if you’re sharing tasks with the client, be intentional. Avoid overloading them with items that feel trivial or too internal. Focus on what they actually need to know and do.
“Anything you give them, you want it to be at one link. If you give them more, you’re going to lose them.”
